Job Description: Purchasing and Supply Officer (Cosmetics and Care Sector) - Overall Job Objective
To secure the institution's needs for raw materials (oils, extracts), packaging materials, and finished products according to the highest quality standards and most suitable prices. To ensure continuity of supply to support production and sales lines, while fully complying with regulatory authority requirements.
Main Tasks and Responsibilities
- Managing Raw Material Purchases: Researching the best sources for natural oils and extracts, and ensuring each shipment has a Certificate of Analysis (COA) to guarantee purity and quality.
- Securing Packaging and Container Materials: Coordinating with printers and container factories to secure packaging and labels.
- Developing the Supplier Base: Searching for new suppliers (local and international) for cosmetic oils, and evaluating their ability to meet seasonal or urgent orders.
- Following up on Import Platforms (SABER / SFDA): Coordinating to ensure imported products comply with Saudi specifications, and following up on customs clearance of shipments at ports (in case of import).
- Negotiation and Contracting: Leading negotiations to obtain bulk discounts and improve payment terms to enhance the institution's cash flow.
- Monitoring Technical Inventory: Coordinating with warehouses to ensure no shortage of essential materials that could halt sales or packaging operations.
- Analyzing Market Trends: Monitoring global oil prices and shipping costs to predict any changes that may affect the pricing of final products.
Qualifications and Requirements
- Education: Bachelor's degree in Business Administration, Supply Chain, or a related field (preference for those with a background in Chemistry or Pharmacy).
- Experience: (2-5) years of experience, with strong preference for previous work in the cosmetics, perfumes, or related sector.
- Languages: Proficiency in English (essential for communicating with international suppliers in Turkey or East Asia and reading material specifications).
- Technical (ERP): Proficiency in working on ERP systems (such as OXO or Salla Pro) for managing purchases and inventory.
- Personal Skills (Soft Skills):
- Attention to Detail: To distinguish between grades of oil and raw material quality and ensure packaging integrity.
- Negotiation Skills: Ability to persuade suppliers to provide the best quality at the lowest possible price.
- Crisis Management: Quick action in case of a delayed international shipment or a manufacturing defect in packaging.
