As a Payroll Executive at the hotel, you will be responsible for managing the payroll process, ensuring accurate and timely payment of wages to hotel employees. Your role involves processing payroll data, calculating salaries, deductions, and benefits, and maintaining payroll records in compliance with legal and company policies.
Main Duties and Responsibilities
Payroll Processing:
- Lead the full payroll cycle for all employees, ensuring timely and accurate calculation of salaries, overtime, incentives, allowances, and deductions.
- Review and validate timesheets, attendance records, and personnel changes prior to payroll runs.
- Oversee the preparation, verification, and approval of payroll inputs and outputs.
- Ensure payroll transactions are processed in line with company policies, employment contracts, and regulatory requirements
Benefits Administration:
- Manage payroll-related components of employee benefits, including insurance plans, retirement programs, and company-provided allowances.
- Ensure correct calculation and deduction of employee and employer contributions.
- Coordinate with HR to enroll new employees, update benefit changes, and resolve employee inquiries related to benefits and deductions.
Taxation and Regulatory Compliance:
- Ensure payroll practices comply with all relevant tax laws, labor regulations, and statutory reporting requirements.
- Accurately calculate and remit income tax, social contributions, and other mandated deductions.
- Prepare and submit all required payroll filings and statutory reports within defined deadlines.
- Stay updated on regulatory changes and implement necessary adjustments in payroll processes and systems.
Payroll Reconciliation and Internal Controls: :
- Perform monthly reconciliation of payroll accounts, ensuring accuracy of payroll entries and general ledger postings.
- Investigate, resolve, and document discrepancies or errors in payroll data.
- Support periodic internal and external audits by preparing required documentation and implementing corrective actions.
Reporting and Analysis:
- Generate regular payroll reports for Finance, HR, and senior leadership.
- Analyze payroll metrics, labor cost trends, variances, and anomalies.
- Provide payroll data to support budgeting, forecasting, and strategic planning.
- Prepare ad hoc reports to support business decision-making.
- Prepare Payroll Executive Summary that includes at minimum rate changes, new hires, terminations and large payments.
Payroll Systems Administration:
- Oversee configuration, maintenance, and optimization of payroll systems and integrations with HRIS and attendance platforms.
- Coordinate with IT and software providers to troubleshoot issues and implement system enhancements.
- Conduct testing and validation of system updates, patches, and new functionalities.
- Ensure data accuracy and consistency across all integrated systems.
Process Improvement and Leadership:
- Continuously enhance payroll processes to increase efficiency, accuracy, and compliance.
- Develop and maintain payroll policies, procedures, standard operating guidelines, and process documentation.
- Provide training and guidance to HR and department managers on payroll policies and best practices.
