The successful candidate will be responsible for accurately entering, updating, reviewing, and maintaining company information across databases, spreadsheets, internal systems, and other digital platforms. Position Overview The Data Entry Specialist plays an important role in ensuring that PulseMediaNL's business information remains accurate, complete, organized, and accessible. This position requires excellent attention to detail, strong organizational skills, computer proficiency, and the ability to work efficiently while maintaining a high level of accuracy. The ideal candidate is dependable, comfortable working independently, capable of handling repetitive tasks without compromising quality, and able to manage confidential or sensitive business information responsibly. Key Responsibilities The Data Entry Specialist will be responsible for: Entering, updating, and maintaining information in company databases, spreadsheets, content management systems, and other digital platforms. Reviewing source documents and digital records before entering information to ensure completeness and accuracy. Verifying entered data against original documents and correcting errors, inconsistencies, duplicate records, or missing information. Organizing and maintaining electronic records using established company filing and naming procedures. Transferring information from documents, emails, reports, forms, and other sources into designated company systems. Performing regular data quality checks to identify inaccurate, incomplete, outdated, or improperly formatted records. Cleaning and standardizing datasets according to internal guidelines. Creating and updating spreadsheets, reports, lists, and administrative records as required. Processing large volumes of information while maintaining accuracy and meeting assigned deadlines. Identifying data discrepancies and reporting significant issues to the appropriate supervisor or department. Following established procedures for data entry, document management, quality control, and record retention. Maintaining confidentiality and protecting sensitive company, customer, employee, and business information. Assisting with administrative and operational tasks related to data management when required. Communicating with team members to obtain missing information or clarify unclear records. Maintaining accurate records of completed assignments and reporting progress when requested. Supporting improvements to data-entry procedures by identifying recurring errors or inefficient processes. Performing other data management and administrative duties as assigned. Required Qualifications Candidates should have: A high school diploma or equivalent; additional education or professional training in administration, business, information management, or a related field is an advantage. Previous experience in data entry, administration, office support, data processing, or a similar position is preferred. Strong typing and computer skills. Excellent attention to detail and commitment to accuracy. Good organizational and time-management skills. Ability to follow written instructions and established procedures. Ability to work independently with minimal supervision while meeting deadlines. Good written communication skills. Ability to identify errors and inconsistencies in records. Ability to manage repetitive tasks while maintaining consistent quality. Professional and responsible approach to confidential information. Technical Skills The ideal candidate should be comfortable working with: Microsoft Excel and Microsoft Office applications. Google Sheets, Google Docs, and Google Workspace. Online databases and data-management systems. Email and online communication platforms. Cloud-based document storage and file-management systems. Basic spreadsheet functions, including sorting, filtering, formatting, and data validation. Web-based administrative platforms and internal company systems. Experience with CRM systems, content management platforms, data-cleaning tools, or other business software is considered an advantage. Key Skills and Competencies Attention to Detail Ability to carefully review information and identify spelling errors, incorrect values, duplicate records, formatting problems, and other inconsistencies. Accuracy A strong commitment to entering and maintaining information correctly, even when processing large volumes of records. Organization Ability to maintain structured files, prioritize assignments, and manage multiple data-entry tasks efficiently. Time Management Ability to work productively, meet deadlines, and complete assigned workloads within established timeframes. Confidentiality Ability to handle sensitive information professionally and comply with company privacy, security, and confidentiality requirements. Communication Ability to communicate clearly with supervisors and colleagues when information is missing, unclear, or inconsistent. Reliability Consistent attendance, dependable performance, and the ability to complete assignments according to company expectations. Problem-Solving Ability to recognize potential data problems, investigate basic discrepancies, and escalate issues when necessary.
