Job description

Job Summary We are seeking a highly organized, detail-oriented, and dependable Data Entry Admin Specialist to join our team. The Data Entry Specialist will be responsible for accurately entering, updating, verifying, and maintaining information across company databases, spreadsheets, and other digital systems. The ideal candidate has excellent attention to detail, strong typing and computer skills, and the ability to work efficiently while maintaining a high level of accuracy. This position requires an individual who can manage large volumes of information, identify inconsistencies or errors, maintain confidentiality, and complete assigned tasks within established deadlines. The Data Entry Specialist will work closely with administrative, operations, finance, customer service, and other departments to ensure that company records are accurate, complete, organized, and readily accessible.

Key Responsibilities

Data Entry and Records Management

  • Enter data accurately and efficiently into company databases, spreadsheets, software applications, and internal systems.
  • Update existing records with new or revised information as required.
  • Transfer information from paper documents, electronic files, emails, forms, reports, and other sources into designated systems.
  • Review and verify data before and after entry to ensure accuracy and completeness.
  • Maintain organized and up-to-date electronic and physical records.
  • Process large volumes of information while meeting established productivity and accuracy standards.
  • Perform regular data cleanup to remove duplicate, outdated, incomplete, or incorrect information.
  • Categorize, sort, and organize information according to established company procedures.

Data Verification and Quality Control

  • Compare entered information against original source documents to identify discrepancies.
  • Identify missing, inconsistent, or inaccurate information and take appropriate steps to correct it.
  • Conduct routine quality checks to maintain the accuracy and integrity of company records.
  • Communicate with appropriate team members or departments to clarify questionable or incomplete information.
  • Report recurring data quality issues to supervisors and recommend improvements when appropriate.
  • Follow established data-entry standards and formatting requirements to maintain consistency across systems.

Database and Spreadsheet Management

  • Create, update, and maintain spreadsheets, databases, digital records, and tracking documents.
  • Organize information using appropriate categories, labels, filters, and filing structures.
  • Assist with importing, exporting, and transferring information between approved systems when required.
  • Generate basic reports and summaries from databases or spreadsheets.
  • Maintain accurate logs of completed work, outstanding items, and corrections.
  • Support periodic database reviews, audits, and record reconciliation activities.

Administrative Support

  • Assist with scanning, filing, copying, document preparation, and other administrative duties as needed.
  • Retrieve records and information requested by authorized employees or departments.
  • Assist with processing forms, applications, invoices, customer records, inventory information, or other business documents depending on departmental needs.
  • Respond to internal requests for data and documentation in a timely and professional manner.
  • Collaborate with team members to complete high-volume or time-sensitive data projects.

Confidentiality and Data Security

  • Handle confidential, proprietary, financial, employee, customer, and business information with discretion.
  • Follow organizational policies regarding data privacy, information security, document retention, and confidentiality.
  • Ensure sensitive information is only accessed and shared with authorized individuals.
  • Maintain secure passwords and follow established procedures for accessing company systems.
  • Immediately report suspected data breaches, unauthorized access, or security concerns to the appropriate supervisor.

Required Qualifications

  • High school diploma or equivalent required; associate degree or additional administrative training is preferred.
  • Previous experience in data entry, administrative support, records management, office administration, or a related position is preferred.
  • Strong typing and keyboarding skills with a high degree of accuracy.
  • Proficiency with Microsoft Office applications, particularly Microsoft Excel and Microsoft Word.
  • Familiarity with Google Workspace, including Google Sheets and Google Docs, is beneficial.
  • Ability to learn new databases, software applications, and internal systems quickly.
  • Strong attention to detail and ability to identify errors or inconsistencies.
  • Good organizational and time-management skills.
  • Ability to manage repetitive tasks while maintaining accuracy and concentration.
  • Strong written and verbal communication skills.
  • Ability to work independently with minimal supervision as well as collaboratively within a team.
  • Ability to prioritize assignments and meet deadlines in a fast-paced environment.

Preferred Skills

  • Previous experience working with customer, financial, inventory, healthcare, administrative, or operational data.

  • Intermediate spreadsheet skills, including sorting, filtering, formatting, and basic formulas.

  • Experience working with CRM, ERP, document-management, or database systems.

  • Strong numerical and analytical skills.

  • Familiarity with data validation and quality-control procedures.

  • Experience handling confidential or sensitive information.

  • Ability to recognize patterns, inconsistencies, and potential errors in large datasets.
